Who are Tracesmart?

Tracesmart was founded in 1999 and operates from offices in London and Cardiff. We specialise in finding and verifying member details for occupational and personal pension schemes. Letters are sometimes sent out to scheme members for verification purposes and the following are typical questions we are asked in respect of those letters.

Why are you writing to me?

We are contacting you on behalf of one of our clients within the pension industry, because they believe you may hold a pension policy with them. It is best practice for pension providers to keep up-to-date scheme member details and be aware of any changes in personal circumstances. Your pension scheme may have employed us as they wish to contact you to discuss changes to your plan.

How did you get this address?

The address we have written to may have been supplied by the company employing us as your last known address. If this isn’t the case, then we will have performed a desk-based trace, which involves searching different databases to find your details.

How much will I be charged for this?

You will not be charged for our services. The company employing us will incur all the costs.

I don’t recognise the company name: what should I do?

We recommend that you do get in contact with us as experience has shown that sometimes a pensions plan has changed names; alternatively the company you used to work for may have been taken over and is now known by another name.

It is also possible that you have stopped contributing to this plan many years ago and have since forgotten about it.

What should I do next?

Call us on the number stated on the letter you have received. You’ll need to quote the reference number at the top of your letter; we’ll then carry out a security check to verify that we are speaking to the correct person.

How much is my pension worth?

We do not have access to our clients’ financial data, which means that we aren’t able to discuss any aspect of your pension plan. However, we can provide you with contact details of our client should you wish to discuss this further.

I have received a letter from Tracesmart, but the person you are looking for no longer lives here: what should I do?

If you are able to provide a forwarding address for the person we are looking for, please advise us; we can then write to them. We would then ask you to destroy the letter you received.

The person you are looking for has passed away: what should I do?

We would really appreciate your informing us. There may be an entitlement to a dependant pension, so it’s important that we locate the details of their next of kin to inform our client.
